Joining Empiraa through Xero App Store? Read this article

Getting Started

So you've found Empiraa on the Xero App Store and want to give it a go. This guide will run you through every step you need to get set up using Xero and Empiraa.

Signup

Sign up via the Get this app button on the Empiraa page within the Xero App Store. Alternatively, you can also signup via our website.

You will be asked to grant access for Empiraa to use your Xero credentials to create an account. Allow access.

You will be taken to the below screen to confirm the subscription you will be signing up to. Our Momentum plan is the default and you can change it for smaller or larger teams once your trial ends.

Next, you will set your password and confirm your email address. Now it's time for the Strategy Designer!


The Strategy Designer

The Strategy Designer is our 10-step setup process that allows you to build out your initial plan in Empiraa. For established businesses that already have a strategy in place, this process will be as simple as copy and pasting.

For new businesses with no current plans in place, we have templates and a comprehensive AI toolkit to help give you inspiration for how to break down those big, long-term goals.

Help at your fingertips

The help menu will automatically open when you jump into the Strategy Designer. There you will be able to access a guided tour that takes you through the setup process. You can book an onboarding with one of our customer support team members to help set you up. Or you can access our new AI toolkit to help build out your plan quickly and simply.

AI Toolkit

The AI toolkit (currently in Beta) is your one-stop-shop for generating some inspiration for different elements of your plan. We are updating these tools regularly so be sure to keep an eye on the new tools joining the list.

We currently have AI machine technology to generate plans like a SWOT Analysis, Marketing Plan, Sales Strategy, SEO Strategy, HR Plan, and even a plan for your latest Product Launch!

πŸ’‘ Remember AI technology is general in nature and should not replace your strategy and planning entirely. Use it as a base to expand your thinking and develop your business plan more thoroughly.

Step 1

Step 2

Upload your logo and enter some more basic company details.

Step 3

Input your vision statement. This is the guiding vision of your business and the impact you want to achieve in the long run. It should be short, concise and powerful.

Step 4

Time to set some core values. These are the top 4-8 values that define your business, shape culture and guide decision-making.

Note from the editor: there have been terminology changes since this guide was made. Pillars are now referred to as goals.

Now it's time to get into the Empiraa spirit and create your company pillars. The pillars are the heartbeat and guiding principles of your plan. Think of them like your big 3-5 year goals that give your business direction.

We require four pillars minimum. You can add more by scrolling to the bottom of the page. You can also come back and edit these whenever you like.

Step 6

Let's add the teams you want in your plan. These may be a direct copy of how your departments look within your business or you may choose to structure these differently ie. project-based.

Now we add our people. There are three ways you can do this. Either manually clicking Add People where you can input individuals, through the File Import button where you can upload a CSV or even better via Xero Import.

Access Level

Access level is where you can control the restrictions around which members of your team can see what. Employees have the standard level of visibility and won't be able to see certain objectives and pillars that have a restricted view. Executives can see everything on the plan and can also make changes to the core plan as well.

We recommend considering these roles carefully and only assigning Executive status to senior managers within your organization.

In this step we go through the teams one by one and move people from the left column into the right to assign them to a team.

The highlighted red boxes show you what team we are assigning people to. By clicking the arrows beside the names you can move people back and forth easily.

The purple bar in the top right shows your progress through the teams. Just click through each team and put the right people in. You will need to assign one Team leader to each team.

πŸ’‘ Tip: We recommend creating one team that has all your employees in it. This will enable you to create objectives where the whole business can be involved.

Here you will assign the custom access URL for your plan. This gives a customized experience to your whole team and make it easier to remember.

If you are unable to edit this field, it means your level of plan does not have this feature and your access URL will be the default https://app.empiraa.net

Step 11

The final step in our setup process is to create your first objective so you can see the plan come alive.

We are going to create an example so you can see exactly what this looks like. As a part of iDonut's mission to become the number 1 donut company in Australia we want to expand our product offering and build out some new flavours. To make an objective around that we will do the following:

Assign the objective to a company pillar

Give it a title, description and assign it to the right team member

Because our target is 10, this will be a metric-based KPI. We would like to get 10 or more flavours made and this objective will run for a year. We want Homer to check in monthly with how he is tracking, so we will remind him on the 1st of each month.

When you press save you will be taken to the draft page. From here you can either create more actions that break this goal down to even smaller tasks to achieve or you can just publish.

In this example, we will publish, but we recommend businesses build another level of aligned objectives to make it easier to reach your goals.

View your plan in myHub

Now you can access Empiraa's full dashboard called myHub. Click through the different views so you can see your own objectives, your teams and the full businesses. This creates great visibility for everyone.

πŸ’‘ Tip: If you cannot see your objectives that you have created, adjust the date on the right-hand side for future set objectives. The myHub dashboard gives you visibility of the objectives that are currently active.


Integrate Xero and Empiraa

The aim of this video tutorial is to set up data automation so that when a new invoice is logged in Xero, it adds a financial number to your corresponding financial objective within Empiraa.

For the purposes of this demonstration, we will be using Zapier, a third-party automation tool, to connect Xero to Empiraa. You can also use other integration tools like Pabbly and PowerAutomate.

This demo assumes that you have a financial objective already built within Empiraa.

You need the following invite only link to access the beta version of Empiraa within Zapier. Follow the link to get started.

Step 1

Open Zapier and set up your first zap. The trigger will be Xero and the action will be Empiraa.

Step 2

Click on the trigger to expand.

Step 3

Set the Xero event to be New Sales Invoice.

Step 4

Add your Xero account

Step 5

Under trigger, you can select the organization. You may have multiple organizations listed under your Xero account so this is where you specify. The status will be automatically awaiting payment.

Step 6

Records will be pulled from your Xero account. Select the correct one you want to use.

Step 7

Open the action tab. The event will be Adding to a Financial Objective in Empiraa.

Under action is where we specify which objective we want the data to contribute to. The objective ID can be found by opening the objective details page in Empiraa. To do this go to your myhub dashboard > click the cog next to the objective you want > view objective. On the objective details page in the URL bar there will be a number at the very end of the URL. This is your objective ID.

Select the date period you want to pull from Xero as well as the financial value.

Step 11

Press continue and then test the action.

Step 12

Go back to your objective in Empiraa and refresh the page. If the total value increased, then your Zap has been correctly set up!
